How to make a crypto invoice
Fill in who issues the invoice and who pays it, an invoice number and the dates. Add the lines of work or goods with quantity and unit price; the totals update as you type. Choose the coin and network you want to be paid in — for example USDT on TRON (TRC-20), USDT or USDC on Ethereum (ERC-20), USDC on Solana, Bitcoin, Ether or Litecoin — and paste your receiving address. The address is checked offline against the network’s format, so a typo or an address from the wrong network is flagged before the client ever sees it.
The crypto amount is the invoice total divided by the rate you enter. For stablecoins invoiced in US dollars the rate is 1. For volatile coins, press the live-rate button or type the rate you agreed with the client, and write in the notes how long it is valid — 24 hours is common. The amount is rounded up to the coin’s precision so you are never paid a few satoshis short.
subtotal = Σ quantity × unit price
total = (subtotal − discount) × (1 + tax %)
crypto amount = total ÷ rate (rounded up)What a good crypto invoice must say
A crypto payment cannot be reversed, so the invoice has to remove every chance of a mistake. The generator puts these elements on every invoice automatically:
- The exact coin and the exact network in words: “USDT — TRON (TRC-20)”, not just “USDT”.
- The full receiving address in a monospace font, plus a QR code that encodes it.
- For Bitcoin, Ethereum, ERC-20 tokens, Litecoin and Solana, a payment link (BIP21, EIP-681 or Solana Pay) with the amount inside the QR, so the payer’s wallet fills it in.
- The rate used and the fiat total, so both sides can reconcile the payment later.
- A warning that funds sent on another network may be lost.
Example: a $1,000 invoice paid in USDT TRC-20
A designer bills a landing page at $800 and four hours of revisions at $50 — a subtotal of $1,000, no discount, no tax. Invoice currency USD, payment asset USDT on TRON, rate 1. The invoice asks for exactly 1,000 USDT to the designer’s TRON address, states “Network: TRON (TRC-20)” and shows a QR with the address. If the client wanted to pay in Bitcoin at $100,000 per BTC instead, switching the asset and the rate gives 0.01 BTC and a BIP21 QR that includes the amount.
PDF, Word or Excel?
“Print / Save as PDF” opens your browser’s print dialog with only the invoice on the page; choose “Save as PDF” to get a file you can e-mail. “Download Word” saves an editable document that opens in Microsoft Word, LibreOffice and Google Docs — useful if you add a logo or legal text. “Download Excel” gives a simple sheet with lines and totals for your accounting. The blank template files at the top of the page are the same layout without any data.
Taxes and accounting
Receiving crypto for work is usually taxable income in the same way as a bank transfer, valued at the fiat amount on the day you receive it. Whether you must add VAT or sales tax, and what details an invoice must contain, depends on your country and your status, so the tax field is empty by default. Keep the invoice, the transaction hash and the receipt together: the payment receipt generator turns a confirmed transfer into a matching document.
Frequently asked questions
+Is the crypto invoice generator free?
Yes, completely. There is no account, no limit and no watermark. The invoice is generated in your browser and we do not see or store it.
+Which coins and networks are supported?
USDT (TRC-20 and ERC-20), USDC (ERC-20 and Solana), BTC, ETH, SOL, LTC, DOGE and XMR. Pick the one you want to receive and paste an address from the same network.
+Can I add a QR code with the amount?
Yes. For BTC, LTC, DOGE, ETH, ERC-20 tokens and Solana the QR contains a payment link with the amount. For USDT on TRON there is no widely supported payment URI, so the QR contains the address and the invoice states the amount and network separately.
+How do I lock the exchange rate?
Type the agreed rate into the rate field and state its validity in the notes, for example “Rate valid for 24 hours”. If the client pays later, issue a new invoice at a new rate.
+Is this a legally valid invoice?
It contains the usual invoice details, but legal requirements (tax IDs, VAT wording, numbering rules) differ by country. Add what your jurisdiction requires in the “From” block or notes.
+Can I download the template for free without registration?
Yes. The Word (.docx) / Excel (.xlsx) file is a direct link on this page: no account, no e-mail and no payment. You can also use the online version above and export your own numbers.
